OptiCOMM Multi-Phase Telecom Infrastructure Optimization (TIO) Process

Multi-Phase TIO Projects Specifically Designed for Your Organization

COMPREHENSIVE SCOPE GAINS MAX RESULTS

OptiCOMM takes a comprehensive, in-depth approach to finding efficiency gains and savings recovery with our TIO projects. Our proprietary process is well honed over 20+ years to be efficient, effective, and proven highly successful. Our Success speaks for itself. We provide an upfront TIO Guarantee that states we will save you at least 11% of your annual in-scope telecom spend. Our results far offset our consulting fees for the engagement. Our history shows we have typically saved our clients an average of 18-20% across our client TIO projects.

With a TIO project, our typical scope covers the full breadth of data and voice spectrum and provides a depth of scrutiny and analysis not seen in superficial audits or contingency efforts. The breadth and depth of a TIO project scope is defined and agreed-upon upfront between OptiCOMM and client. A typical TIO involves a comprehensive scope reviewing all areas of voice and data, telecom services and assets inventory, billing, contracts, analysis of bandwidth, traffic, and service level commitments, etc.  A TIO scope can be one all-encompassing project, or divided into several smaller TIO scopes done sequentially to accommodate timing concerns or budgetary constraints. OptiCOMM works with you to plan and ensure the best project timing and the lowest cost option that will maximize the positive outcome.

Several OptiCOMM services are ideal for inclusion in a TIO scope. The Contract Negotiations Service can add tremendous client value by using OptiCOMM industry insider expertise to ensure you get the best terms. Carrier/Network Transitions Service offering is another wise consideration.  We can ensure your vital service change-overs are done methodically by OptiCOMM certified Project Management Professionals (PMPs) who will minimize downtime and maximize seamless communication of on-schedule progress. From time to time, OptiCOMM will also take on other client-specific, add-on projects if we possess the relevant expertise and feel we can excel in achieving your goals.

Accomplishing such a comprehensive scope means planning for success. OptiCOMM focuses on these five key areas of concentration:

  • Needs Assessment
  • Inventory Site Reviews
  • Network Engineering/Re-engineering
  • Bill/Contract Audits
  • Service Reasonableness Checks

Our TIO project encompasses a multi-step process that includes Discovery, Analysis, Solutions Delivery, and Implementation Support phases. Here’s a quick overview of each important OptiCOMM step in this process.

Discovery: Needs Assessment and Data Collection

Others offer a more standard evaluation approach achieving only marginal results. OptiCOMM fully understands the depths of overspending that can exist, across the breadth of assets and services, which can contribute to reduced performance or inaccuracy. We capture a client’s needs and wants and combine them with intelligent data capture of their environment. We collect data on a client’s asset inventory to ascertain the critical difference between what is assumed vs exists. No more guessing on what you think you have. You will know for sure. Another OptiCOMM Difference.

Typical pieces of the Discovery phase include:

  • Interviews with key client personnel for needs assessment
  • Site-specific issues, growth projections, relocations
  • Telecom infrastructure changes, carrier/network transitions, contract renewals
  • Carrier/Vendor contracts and billing requests
  • On-site visits to designated larger or prime locations
  • Remote data gathering for smaller sites
  • Observed hazards relating to environmental, security, or safety issues are documented

Analysis: Data Manipulation

A wealth of data is useless without the intellectual expertise to manipulate it properly and advantageously for the client’s benefit, not the vendors. OptiCOMM talent and software tools assess and manipulate the captured data from our client’s locations and uncover patterns of inefficiency and savings opportunities more adeptly and quickly than others can. Our network engineering analysts and billing analysts look for ways to improve your network’s performance and its stability as well as recover savings.

  • Reasonableness checks of assets/services (Have vs. Need)
  • Corrected Inventory database
  • Traffic pattern analysis
  • Bandwidth utilization
  • Customer support level needs
  • Lines/circuits usage studies
  • Comprehensive Billing reviews for accuracy and necessity
  • Contract reviews
  • Implication of new technology or updates
  • State of technology that is outdated, problematic, unneeded
  • Contract Negotiation
  • Carrier/Network Transition timing

Top to bottom recommendations are what OptiCOMM surfaces for its clients. Knowing what you truly have in your inventory is only 50% of the equation. The question is- Is what you Have, exactly what you Need? Another 25% is about determining whether all your assets and services are actually needed, or are some or many wholly unnecessary. A key OptiCOMM advantage is to eliminate these unnecessary or outdated items and free up spend and improve network efficiency. The last 25% is about verifying the accuracy of billing for the necessary expenses. In this dynamic and chaotic environment, there are plenty of inaccuracies to correct. The OptiCOMM Difference is more than finding billing discrepancies. We also find and eliminate the inefficient assets and services. Then we ensure you accurately pay only for the services you really need.

Solutions Delivery: Solid Rationale Speeds Approval

When our analysis is done, your team can review our solutions for approval as they are uploaded into our in-house OptiWARE™ software. OptiCOMM provides a client portal into this software to expedite the approval process. Clients can review each and every specific recommendation and simply indicate your approval for us to proceed with just one click. Streamlining the approval process is just another way we maximize your savings returns. Time is money.

In-depth recommendations that produce meaningful results is our deliverable. No high level superficial nonsense. With OptiCOMM results, our clients clearly see individual recommendations with thorough written, detailed background, and rationale. Our comprehensive approach on agreed in-scope areas covers recommendations across many categories of savings or optimization solutions such as re-engineering, unnecessary features, underutilized services, carrier change, taxes, unused equipment, and more. Recurring and one-time savings, one-time credits and/or charges are all detailed out in each recommendation along with the calculation of annualized net savings. Implementation Initiation: Going the Extra Mile

Just understanding where the problems lie doesn’t literally recover unnecessary spending or improve network efficiency. OptiCOMM transforms its written solutions into actionable results for its clients. While we are still engaged on the project, we will continue to assist your team in initiating the implementation process that results in realizing savings much faster.

Once a client hits the “Approve” button on an individual solution in our OptiWare™ in-house software system, OptiCOMM initiates the Implementation process to kick-start the follow-through for tangible results. When “Time is Money”, we minimize the time it takes to turn approved solutions into meaningful efficiency gains and lowered costs. Until these issues are formally addressed and corrected, it costs you money. Our team engages with the appropriate carrier or vendor involved and initiates the appropriate change orders. We contact them to establish work order dates to remove unnecessary or outdated services. We get agreement on the earliest timing that billing reductions or corrections will be reflected on the client’s bill. To save money, each approved solution is initiated as early as possible. Once all solutions have been initiated and are in process, OptiCOMM provides your internal team with the detailed documentation verifying when you can expect to realize these efficiency improvements and savings gains.

Engagement Complete: Major Client Upside Benefits

At the end of a TIO project, OptiCOMM clients’ benefits are of significant value:

  • A network infrastructure sized appropriately to ideal needs
  • Billing inaccuracies resolved, known timing for reflecting changes
  • Documented safety/security hazards for future internal action
  • More secure network with removal of outdated, vulnerable assets/technology
  • Contract Negotiations that achieve best terms
